RECOMMENDATION
Staff recommends that the Martin Luther King Jr. Celebration & Juneteenth Celebration Advisory Committee (Committee) (1) draft a Biannual Report to the City Council, including accomplishments during the period July through December 2024, and an update on the upcoming 2025 Plans; and (2) authorize transmittal of the report to the City Council.
BACKGROUND
City Council Policy 3002, City Commissions, Boards and Committees; Appointed Representatives to Outside Agencies and Boards (CBC Policy), Section VI (page 7), states (in part): “Periodically, but no less than biannually, each CBC shall submit to the City Council a written report on their respective activities.” In order to prepare for this requirement, the City Clerk’s Office has directed staff to place this item on the agendas of all CBCs for their upcoming December or January meeting.
The written report to the City Council must list the Committee’s accomplishments during the previous six-months and include an update on the upcoming 2025 Scheduled Activities Plan. Upon transmittal of the report, City Clerk’s Office will then compile all of the work plans, draft a City Council staff report, and place it on the agenda as a “Receive and File” report.
DISCUSSION
Accomplishments During the Period July through December 2024
From staff’s perspective, some of the Committee’s highlights during this period include:
• Held the Inaugural Meeting of the Martin Luther King Jr. Celebration & Juneteenth Celebration Advisory Committee on July 17, 2024.
• Formed the following Ad Hoc Subcommittees to meet with staff and support in the planning of the Martin Luther King Jr. Celebration:
o Entertainment and Talent for Martin Luther King Jr. Celebration Ad Hoc Subcommittee
o History and Culture for Martin Luther King Jr. Celebration Ad Hoc Subcommittee
• Formed the following Ad Hoc Subcommittees to meet with staff and support in the planning of the Juneteenth Celebration:
o PR and Marketing for Juneteenth Ad Hoc Subcommittee
o History and Culture for Juneteenth Ad Hoc Subcommittee
o Entertainment and Talent for Juneteenth Ad Hoc Subcommittee
• Formed the Sponsorship/Donation for Martin Luther King Jr. Celebration & Juneteenth Celebration Ad Hoc Subcommittee to meet with staff and pursue various options for sponsorships and donations to build the funding for each event.
• Held a Special Meeting to select the winner of the Martin Luther King Jr. Celebration video contest.
PRCS Commission 2025 Goals and Plans
From staff’s perspective, some recommended goals and plans the Committee can adopt for January 2025-June 2025 include:
• Host alongside the Parks, Recreation and Community Services Department the Committee’s first Martin Luther King Jr. Celebration on January 11, 2025.
• Host alongside the Community and Economic Development Department the Committee’s first Juneteenth Celebration.
• Continue to meet monthly to advise the corresponding department on the planning and production of each event.
