RECOMMENDATION
Staff recommends the City Council (1) approve an amendment to the existing agreement with Konica Minolta for digitalization of property building records and final building plans for an additional amount not-to-exceed $175,000; and (2) authorize the City Manager to approve additional amendments to the agreement to cover contingencies in an amount not-to-exceed $17,500 (10% of base amendment).
BACKGROUND
In Fiscal Year 2021/2022 an agreement of services for the digitization of final building plans was executed with Konica Minolta. The agreement was carried over into Fiscal Year 2022/2023 in an amount not-to-exceed $75,282.50. The existing scope of service for the digitalization of final building plans is being amended to include the digitalization of property records and an increase in the total quantity of final building plans.
Staff is recommending the City Council approve an amendment to the agreement in the amount of $175,000, resulting in an aggregate contract amount of $250,282.50, plus 10% contingency ($17,500) for digitalization of property building records and final building plans.
FISCAL ANALYSIS
There are no additional funds being requested. There is sufficient funding in Revised Budget for Fiscal Year 2022/2023 in Account #10150150.619800 to cover the cost of the amendment.

That the City Council:
1. Approval of an amendment to the contract with Konica Minolta for digitalization of property building records and final building plans in an amount no-to-exceed $175,000;
2. Authorize the City Manager to approve additional amendments to the agreement to cover contingencies in an amount not-to-exceed $17,500 (10% of base amendment);
2. Authorize the City Attorney to review/prepare the necessary documents; and
3. Authorize the City Manager to execute such documents on behalf of the City.
