RECOMMENDATION

 

Staff recommends the City Council approve an amendment to the existing agreement with Commline, Inc. for support and maintenance services for the Mobile Data Computers, Body Worn Cameras, and the Panasonic Arbitrator 360 HD In-Car Mobile Audio/Video Systems in the police vehicles in an additional amount not-to-exceed $120,677.61 and extending the term through August 31, 2025.

 

 

BACKGROUND/DISCUSSION

 

In August 2022, the City Council approved an agreement with Commline, Inc., for support and maintenance of the Mobile Data Computers (MDC), Body Worn Cameras (BWC), and the Panasonic Arbitrator 360 HD In-Car MAV (Mobile Audio/Video) Systems. The agreement will expire on August 31, 2024. The services under the agreement include troubleshooting any hardware/software related issues, replacement of non-repairable hardware, and software upgrades.

 

On tonight’s City Council Agenda, there is a request for approval to purchase a new In-Car Camera/ Body Worn Camera system. If approved, based on the procurement and proposed installation schedule, there is still a need for the continued maintenance agreement with Commline, Inc., to ensure uninterrupted support for the current system while transitioning to the new system.

 

 

FISCAL ANALYSIS

 

The Adopted Budget for Fiscal Year 2024-2025 includes sufficient funding to cover $120,677.61 for the support and maintenance services for the MDC, BWC and MAV in Account No. 10140200.600200 (Police - R&M Equipment). This account can be found in the Police Department section of the budget book in Operating Bureaus operating and maintenance expenditures.

MOTIONS

 

That the City Council:

                     

1.                     Approve an amendment to the existing agreement with Commline, Inc. for support and maintenance services for the Mobile Data Computers, Body Worn Cameras, and the Panasonic Arbitrator 360 HD In-Car Mobile Audio/Video Systems in the police vehicles in an additional amount not-to-exceed $120,677.61, and extending the term through August 31, 2025; and

 

2.                     Authorize the City Attorney to review/prepare the necessary documents; and

 

3.                     Authorize the City Manager to execute such documents on behalf of the City.
