RECOMMENDATION

 

Staff recommends the City Council approve an amendment to the existing professional services agreement (Agreement) with South Bay Regional Public Communications Authority (RCC) for an additional amount not-to-exceed $60,000 to cover the cost of additional work needed in order to implement the project by the March 1, 2017 go-live date.

 

 

BACKGROUND/DISCUSSION

 

On January 9, 2017, the City of Culver City (City) entered into a contract with RCC to provide dispatch services for the City’s police and fire departments, and provide equipment installation, maintenance and repair services of mobile and portable equipment.

 

In order to implement the project by the March 1, 2017 go-live date, RCC, through a subcontractor, executed several technological upgrades to the City’s radio system including, but not limited to, the following:

 

                     Replaced the radio tower aircraft warning lights to comply with current Federal Aviation Administration (FAA) standards;

                     Moved the City’s bus radio system to a separate system; and

                     Reprogramed existing radios to comply with P-25 standards.

 

The completion of the above-mentioned tasks allowed RCC to implement the project by March 1, 2017.

 

 

FISCAL ANALYSIS

 

One-time funds under the existing Agreement have been exhausted. Sufficient funding to cover this amendment are available in the following accounts:

 

                     20370300.732120 Radio Communications Modification project ($100,000 available)

                     CIP PF011 Radio Tower Repairs ($40,000 available)

                     10145700.600200 Radio Programming ($13,000 available)

 

If approved, the aggregate amount of the Agreement will be $2,322,798.

MOTION

 

That the City Council:

 

1.                     Approve an amendment to the existing professional services agreement with the South Bay Regional Public Communications Authority for an additional amount not-to-exceed $60,000;

 

2.                     Authorize the City Attorney to review/prepare the necessary documents; and

 

 

3.                     Authorize the City Manager to execute such documents on behalf of the City.
