RECOMMENDATION

 

Staff recommends the City Council approve a five-year general services agreement with South Coast Industrial Door to perform on-call door and gate repairs at 28 City-owned facilities in an amount not-to-exceed $100,000 annually, for a total amount not-exceed $500,000 over the five-year term.

 

 

BACKGROUND

 

The City owns 28 different facilities that have mechanical and/or electric doors and gates (with and without access control systems attached to them) and that require repairing or replacement on an on-call basis. The gates and access control systems are primarily manufactured by LiftMaster Gate.  However, the City also has Horton Door, Besam Gate, and a few other make/models installed. 

 

 

DISCUSSION

 

Staff released Request for Proposals No. 2549 (“RFP”) to perform on-call gate/door repairs over five years in an amount not-to-exceed $100,000 annually and received a total of four proposals.  They were evaluated using the following criteria contained in the RFP:

South Coast Industrial Door is located in Corona, California and has been in business for over sixty years.  They have their own fleet of trucks with 30 crewmembers to serve their Southern California customers. Their references are satisfactory, and staff recommends selecting them to enter into a five-year agreement with.

 

 

FISCAL ANALYSIS

 

The Adopted Budget for Fiscal Year 2024-2025 includes sufficient funding in the amount of $100,000 for first year of the five-year agreement in CIP Account No. 42080000.730100.PZ-132 -- Building Repairs which is can be found in the Capital Improvements Section of the budget book in the Facilities Planning Reserve Fund (Fund 420F) on page 480.  If approved, staff will include funding in subsequent fiscal year budget requests to cover each of the four remaining years of the agreement.

MOTIONS

 

That the City Council:

 

1.                     Approve a five-year general services agreement with South Coast Industrial Door in an amount not-to-exceed $100,000 annually for a total not-to-exceed of $500,000 over the five-year term to perform on-call door and gate repairs at various City-owned facilities; and

 

2.                     Authorize the City Attorney to review/prepare the necessary documents; and

 

3.                     Authorize the City Manager to execute such documents on behalf of the City.
