RECOMMENDATION
Staff recommends that the Equity and Human Relations Advisory Committee (EHRAC) (1) discuss the Equity and Human Relations Advisory Committee (EHRAC) meeting needs for January 1, 2025, through June 30, 2025; and (2) if so desired, determine and approve special meeting dates and times for January 1, 2025, through June 30, 2025.
BACKGROUND
The Equity and Human Relations Advisory Committee (EHRAC) By-Laws (Attachment 1) contain the following information regarding Regular Meetings, Cancellations, and Special Meetings:
Regular Meetings
The Committee shall meet on a quarterly basis, or as needed, on the 4th Tuesday of the months of July, October, January and April at a time and place to be decided by the Committee.
Cancellation of a scheduled meeting/event:
In consultation with the Chair, Regular meetings may be cancelled by the Staff Liaison.
Special Meetings
Special meetings may be called at any time by the Chair or a quorum of the Committee.
Currently there are no special meetings scheduled for January - June 30, 2025. (Attachment 2)
DISCUSSION
In deference to staff and member work and project schedules, EHRAC special meetings are to be limited in number and to be used for specific, time sensitive and special items related to its workplan. (Attachment 3) EHRAC may form and/or maintain Ad Hoc Subcommittees to meet and discuss special activities, progress on projects, and events on an as-needed basis in between scheduled meetings.
In accordance with the above, and based on the approved EHRAC July 2024 Biannual Workplan, the item for EHRAC’s consideration at the January 28, 2025, Regular Meeting, will be to discuss and determine the following, if so desired:
• February 2025:
Per the City Council meeting on January 13, 2025, Council requested that the Courageous Conversation be scheduled for Tuesday, February 25, 2025, provided that the assigned ad hoc subcommittee submits requested information to staff by the expressed deadlines, and that the ad hoc subcommittee actively engages the community in facilitation, planning and implementation of this event.
• May 2025:
o Meeting to review Diversity Awareness Projects Website prior to launch; and
o Equity and Human Relations Awards Nominee Evaluation and Selection per Attachment 4.
